Should my clients log in to the platform, or should I run it for them?

It depends on your niche, but Votel recommends designing a system your client never needs to log in to, and running it for them as the expert.

Business owners such as plumbers, roofers, contractors and loan brokers are busy, often do not want to learn a CRM and have no time to be trained. Do not expect to hand them a login and have them know what to do; they look to you to provide the solution. Self serve also promotes attrition, especially at a premium price, because customers who pay a premium expect premium service. Meet clients where they are: if they already use another CRM or answering service, do not try to change it. Build around it and focus on what they lack. The less change a client has to make, the more successful you will be.

Ways to deliver results without a login:

  1. Build the AI agents yourself, give the client the phone number for their AI agent and have them forward their calls to it.
  2. Send branded notifications by email or text every time the system does something, such as a new lead or a booked appointment, with the details, the AI call summary, a link to the recording, the contact details and the transcript. This shows the result and justifies your monthly fee, so they never wonder what they are paying for.
  3. Forward calls to the business or the owner's cell phone so they know each call came from you.
  4. Use forms with a form submitted trigger. For example, give them a form where they type a customer's name and email after a closed deal, and a workflow sends that customer a review request.
  5. If they want to give instructions, connect the AI assistant to another channel such as Telegram, or give them a phone number to call.

If you do give a client a login, it works best for what we call a microwave offer: one so simple nobody needs training, such as review generation or social media management. Hide the menu items they do not need, and lock the items you built so they cannot change your work.

You are selling a turnkey solution, not software, so price for the value you provide rather than for the software.
